Community conduct
Treat participants, mentors, organizers, and venue staff with respect. Welcome beginners, share space and equipment fairly, and ask before photographing or recording someone.
Harassment, discrimination, threats, unwanted sexual attention, intimidation, and deliberate interference with another team’s work are not acceptable. Organizers may intervene or remove participants to protect the community.
Build with honesty
Credit outside code, datasets, design assets, AI tools, and any work completed before the event. Follow the licenses and permissions attached to what you use. Don’t submit someone else’s project as your own or expose private information.
The proposed format asks teams to build the submitted prototype during the event. Final rules about pre-existing work, team size, submissions, and sponsored challenges will be published with registration.
Project ownership
Our proposed policy is that builders retain ownership of their original work. Teams should agree on collaboration and licensing. Any separate sponsor terms must be disclosed before a team opts into a sponsored challenge.
Safety & reporting
Each confirmed event must publish a named safety lead, a private reporting method, venue procedures, and emergency contacts before it opens. These arrangements are still being developed; this website is not an emergency reporting service.
During an event, seek an identifiable organizer for help. If there is immediate danger, contact local emergency services.
Young participants & accessibility
Age eligibility, guardian consent, supervision, and safeguarding procedures will be specific to the host event. We won’t invite minors to attend until those arrangements are in place.
Venue accessibility, quiet space, dietary needs, and device support will be addressed during local planning. You can discuss access requirements through the host inquiry without providing medical records.
Inquiry information
The forms collect the information you enter so Hedgehacks can consider your hosting or partnership inquiry. Submissions are saved privately; they are not published as a participant directory or automatically sent to prospective sponsors.
Please don’t submit children’s personal details, health records, or other sensitive information. A full privacy notice, organizational contact, and retention policy must be finalized before public participant registration opens.
